Who is responsible for your data
The administrator of the ugcvids.com service decides how and why personal data in the service is processed. For any question about this policy or your data, write to support@ugcvids.com. We answer privacy requests in writing and may ask you to confirm the request from the email address of your account, so that nobody else can get access to your data.
Data we collect
We collect only what we need to run your account, produce your videos and keep the service secure.
- Account data, which is your email address and a hash of your password (we never store the password itself)
- Confirmation codes sent by email to verify your address and sign you in
- What you type into the video plan builder, such as a product description, audience and offer
- Briefs, product details, brand guidelines, files and links you upload or send for an order
- Comments in the order panel and messages you send to support@ugcvids.com
- Billing data such as plan, billing period, invoice details and payment status; card details are entered with and handled by our payment operator, and we do not see or store full card numbers
- Technical logs, including IP address, browser type, pages requested, time of the request and error records
Why we use your data and on what basis
We use each category of data for a specific purpose and rely on a specific legal basis under the GDPR and comparable laws.
- To create and run your account, process orders, match creators and deliver videos, because it is necessary to perform our contract with you
- To prepare your one-time video plan in the builder, because you ask us to and it is necessary to provide that feature
- To charge subscriptions, issue invoices and keep accounting records, because the contract requires it and tax and accounting laws oblige us to keep those records
- To send service emails such as confirmation codes, order status updates and renewal notices, because they are part of the contract
- To keep the service secure, prevent fraud and abuse and fix errors, based on our legitimate interest in a safe and working service
- To handle disputes, chargebacks and legal claims, based on our legitimate interest in defending our rights
We do not sell your personal data and we do not use it for third-party advertising.
Who receives your data
We share personal data only with recipients who need it to provide the service, and only to the extent they need. We describe them by category.
- A hosting provider in the European Union that stores the service and its data
- A payment operator that processes subscription payments and card details
- An email delivery provider that sends confirmation codes, notifications and service messages
- An AI text model provider used for the video plan builder, which receives the product description you enter there to draft hooks, a script start and a shot list
- Creators who receive the brief for their assignment, including product details, script and guidelines needed to film, but not your password or billing data
Recipients act on our instructions or under their own legal obligations. Where data leaves the European Economic Area, we rely on appropriate safeguards such as standard contractual clauses. We may also disclose data when the law requires it, for example at the request of a court or public authority.
How long we keep data
We keep account data for as long as your account exists. After you delete your account we remove or anonymise account data, briefs and comments within 90 days, except where the law requires longer storage. Billing and invoice records are kept for the period required by tax and accounting laws. Confirmation codes expire shortly after they are sent and are not kept longer than needed. Technical logs are kept for up to 12 months for security and error analysis. Inputs to the video plan builder that are not linked to an account are deleted within 30 days. Data needed for an ongoing dispute or chargeback is kept until the matter is closed.
Your rights
You can use the following rights by emailing support@ugcvids.com from the address of your account.
- Access to your personal data and a copy of it
- Correction of inaccurate or incomplete data
- Deletion of your data when there is no longer a reason to keep it
- Objection to processing based on our legitimate interest
- Restriction of processing in the cases the law provides
- Data portability, which means receiving the data you gave us in a common machine-readable format
- A complaint to a data protection supervisory authority, in particular in the country where you live or work
California residents have the right to know which categories of personal information we collect, use and disclose, the right to delete and correct it, the right to opt out of the sale or sharing of personal information and the right not to be treated differently for using these rights. We do not sell or share personal information for cross-context behavioural advertising. You may use these rights yourself or through an authorised agent, and we verify each request before acting on it.
Cookies
The service uses only strictly necessary cookies. They keep you signed in (session cookie), protect forms against cross-site request forgery (security token) and remember simple preferences such as the billing period you selected on the pricing page. We do not use advertising pixels, cross-site tracking cookies or third-party marketing cookies. Because these cookies are needed for the service to work, they do not require consent and there is no cookie banner. You can block or delete cookies in your browser, but signing in will then stop working.
Children
UgcVids is a business service for brands. It is not directed to children and children are not allowed to use it. You must be at least 18 years old to create an account. If we learn that a child has given us personal data, we delete it.
Security and changes to this policy
We protect data with encrypted connections, hashed passwords, access limited to people who need it and regular review of technical logs. No system is perfectly secure, so please use a strong, unique password for your account.
We may update this policy when the service or the law changes. We publish the new version on this page with a new date, and for material changes we also notify account holders by email before they take effect. Read more about how the subscription works in our terms of service.
